“Do you have 120 chairs and a stretch tent for the 22nd?”, answered while the truck is still loading.
Hire companies quote stock against dates. Stubie prices the list per day, flags what is already out on that date, and chases the deposit that holds the booking.
See it on your own enquiriesWhy hire companies lose bookings
You quote from the bakkie
Enquiries land while you are delivering, setting up or collecting. By the time you sit down at 19:00, three people have booked elsewhere.
Same stock, two Saturdays
You do not sell items, you rent the same ones over and over. A quote is only honest if it knows what is already out on that date.
Deposits, damages, breakages
A booking deposit, a refundable breakage deposit, delivery and collection, and a short-count on the return. Four money conversations per job.
Priced per day, checked against the date.
An enquiry with a date and a list gets priced off your hire rates, per item and per day, plus delivery and collection. If something on the list is already out on that date, the quote lands in your queue flagged rather than promised. You approve, and the deposit chasing starts on its own.
- Per-day and weekend rates, delivery per km, setup per hour
- Stock already committed on that date is flagged, never quietly double-booked
- Booking deposit and refundable breakage deposit as separate lines
- Collection date on the quote, so the return conversation starts early

Does it know what stock I have left on a date?
It knows what your confirmed orders have committed. If an enquiry asks for more than is free on that date, the quote comes to you flagged with the shortfall, so you decide whether to sub-hire, offer less, or move the date.
How do refundable breakage deposits work?
It sits as its own line with its own reference, so you can see it arrive and refund it separately after the return count. Stubie never holds the money: it goes into your account like everything else.
A customer adds 20 chairs two days before. Then what?
You adjust the same quote and the link updates. The day rate recalculates, the balance changes, and the customer sees one current version rather than three PDFs.
Can it chase the balance before delivery?
Yes. Set the balance due a set number of days before the event and Stubie reminds against that date, in working hours, in your wording. You can pause chasing on any order.
